This Privacy Policy outlines how we collect, use, and protect your personal data when you use our services, including the Job Toast app, website (jobtoast.io), and any related services (“Service”).

By using Job Toast, you agree to the collection and use of information in accordance with this policy.

We collect the following types of information when you use our Service:

  • Personal Information: This includes your name, email address, and any other personal data you provide when signing up or using the service.
  • Job Application Data: Information related to your job applications, such as job postings, status updates, notes, and other details related to your job search activities.
  • Usage Data: This includes information about how you interact with our website or app, such as IP addresses, browser types, device information, and the pages you visit.
  • AI Data: If you use AI features (e.g., generating cover letters), we may collect the inputs you provide, as well as any output generated by the AI model.
  • Google API Data: If you use Google OAuth for sign-in or integrations, we may collect data based on the scopes requested, including:
    • Calendar Events: We access and manage your Google Calendar events in read-only mode to help track job interviews or application deadlines.
    • Email Communication: We may create and send emails via Gmail to facilitate job application communications.
    • Calendar Events Owned: We access and manage your calendar events that you own, helping you to manage your interview schedules and deadlines more effectively.

2. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve our Service
  • Personalize your experience and deliver relevant content
  • Send you notifications related to your job search (e.g., job status updates, reminders)
  • Respond to customer service inquiries and offer support
  • Perform data analytics to improve our services
  • Comply with legal obligations

3. How We Protect Your Information

We implement appropriate security measures to protect your data from unauthorized access, use, or disclosure. However, no method of electronic storage or transmission is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.

We do not sell, rent, or share your personal information with third parties for their marketing purposes. We may share your information:

  • With service providers: Third-party companies who assist us in providing the Service (e.g., cloud hosting, email services).
  • For legal reasons: If required by law, we may disclose your information to comply with legal obligations, protect our rights, or defend against legal claims.
  • With your consent: If we ask for your consent to share your information with third parties, we will do so only with your permission.

5. AI Provider Data Handling

Job Toast uses third-party AI providers to generate features such as cover letters, follow-up emails, interview questions, job-data extraction, and job-quality scoring. We currently route AI requests through the following providers:

  • Google Gemini (US-hosted): Google’s free-tier terms allow Google to use your inputs to improve their services, including model training. We send only the data necessary to fulfill your request.
  • Groq (US-hosted): Groq’s current terms state that they do not train on customer inputs. Groq is also the provider that runs the Moonshot Kimi K2 model used for some long-form generation features; despite Moonshot being a China-based company, the Kimi K2 model weights run on Groq’s US infrastructure when accessed through Job Toast.
  • OpenAI (US-hosted): Reserved for future paid features. Not currently used in routing.

Job Toast routes each AI request automatically to whichever provider gives you the best available result. There is no per-provider opt-out today; if you do not want your data sent to AI providers at all, do not use Job Toast’s AI features.

The data sent to providers may include: your job notes, resume content (when uploaded for cover-letter or follow-up generation), and the text of job postings you save.

6. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to enhance your experience, analyze usage patterns, and improve our service. You can control your cookie preferences through your browser settings.

7. Data Retention

We will retain your personal data only for as long as necessary to provide the services, comply with legal obligations, resolve disputes, and enforce our agreements.

8. Your Rights

Depending on your location, you may have certain rights regarding your personal data, including:

  • Access: The right to request a copy of the personal data we hold about you.
  • Correction: The right to correct inaccurate or incomplete personal data.
  • Deletion: The right to request the deletion of your personal data, subject to certain exceptions.

12. Data Retention for AI/ML Model Training

We do not retain user data obtained through Google Workspace APIs for the purpose of developing, improving, or training generalized AI and/or ML models. Any data collected is used solely for providing and improving our services as described in this policy.
